Privacy policy

This notice explains how Labverse handles information through its WhatsApp business assistant and staff workspace. For questions or requests, email info@labverse.org.

Information we handle

When you contact us, we receive your WhatsApp account identifier and phone number, profile name, messages, delivery information, and any voice messages you choose to send. We may record transcripts, language and reply preferences, project requirements, contact details, quotation requests, and staff notes needed to follow up. Please do not send passwords, payment card details, identity documents, or sensitive personal information.

How we use it

We use this information to answer your inquiry, remember relevant conversation context, prepare a follow-up or quotation request, support our staff, respect your communication preferences, and keep the service secure. Our assistant generates automated responses; staff can review conversations and take over. It does not make final contractual or pricing decisions.

Service providers and processing locations

WhatsApp/Meta delivers messages. Google Gemini processes relevant conversation content and audio for AI responses, transcription, and speech. Amazon Web Services hosts the assistant and its storage; our deployment is in Mumbai, India. Provider processing may occur in other countries under their own terms and safeguards.

Customer content is sent to Gemini only through a project configured for its paid service terms. Those terms state that prompts and responses are not used to improve Google's products, while allowing limited processing for safety and security. Retention

Conversation message text, transcripts, and summaries are scheduled for removal after 180 days without conversation activity. Raw message events and stored audio have a seven-day retention period. Prepared data exports expire after 24 hours. Operational logs are rotated to limit stored history, and database backups rotate over 14 days. Expiration is processed periodically, so removal may not be immediate.

Contact and inquiry records, quotation details, and limited audit or suppression records have separate lifecycles and may remain after conversation text expires. We keep them as needed for an active inquiry, security, legal obligations, or to honor an opt-out; contact us to request review or deletion. Provider systems and your own WhatsApp history follow their respective retention policies.

Your choices and requests

You can ask for a person, request corrections, ask for access to your information, request deletion, or ask us to stop contacting you. Email info@labverse.org using the subject “Privacy request.” We may verify that the information belongs to you before acting. Available rights and any exceptions depend on applicable law. See our data deletion instructions.

An opt-out or deletion request may leave a limited, protected identifier so that we can continue honoring your request. Deletion from our systems does not delete copies held by WhatsApp, other providers, or message recipients. Data in rotating backups ages out with the backup schedule; restored systems reapply recorded privacy restrictions.

Cookies and security

The staff workspace uses an essential session cookie for authentication and security. These assistant pages do not add advertising or analytics cookies. Access to customer records is restricted to authorized staff. No online service can guarantee absolute security.

Who this service is for

The assistant is intended for adults making professional or business inquiries, aged 18 or older. If you believe a child's information was submitted, contact us so we can review its removal.
